What is the CHANCEN Portal for Education Partners?

The CHANCEN portal for education partners helps us manage the collaboration between the CHANCEN community and its education partners.

As soon as an educational partnership is established, you as an educational partner will be able to access the CHANCEN portal. Here you can see supported degree courses, funded students and current applications.

How can I view the application status in the portal?

Overview of ISA applications

  • To view the status of applicants, click on “View ISA applications” after login.
  • Now you will see an overview of all applications. In the overview, you will see the university/study status you have set and the student’s application status with the CHANCEN community.

How can I set the status of an application?

To ensure a smooth application process, it is necessary that the university status of the applicants is regularly updated by you: if the status is not set by the education partner, the further application process is blocked.

  • To view the status of applicants, click on “View ISA applications” after login
  • Now you will see an overview of all applications. In the overview, you will see the university/study status you have set and the student’s application status with the CHANCEN community

How can I view the status of students?

Overview of ISA students

  • To view the status of students, click on “View ISA students” after login.
  • Now you will see an overview of all students. In the overview, you can see the study status you have set and the students’ contract status with the CHANCEN community.

 

Meaning of the contract status

  • “Draft” = Applicant has received an ISA sample contract, CHANCEN eG will soon start the electronic contract signing.
  • “Email sent to CHANCEN” = Both CHANCEN board members have been informed that they need to sign the ISA.
  • “EmailSentToStudent” = Both CHANCEN board members have signed the contract and the applicant has been asked to sign the contract.
  • “Signed” =  The contract has been signed by the CHANCEN board members and the applicant.
  • “Identification…” =  If problems arise during contract signing  through the applicant (e.g. abortion of the signing process or attempted fraud), a corresponding note will appear.

How can I set the status of students?

To ensure a smooth repayment process, it is necessary that you update the university status of the students at least every semester. Especially in case of early graduations, dropouts, semesters off or abroad, we rely on your information.

Setting the student status

  • To set the status of students, click “View ISA students” after login.
  • In the list, search for the person whose status you want to set.
  • Click “Details” to the left of the name.
  • Now you can see the student profile in detail and set the study status.
  • Then confirm the set student status by clicking on “Confirm changes”.

 

Meaning of university status

  • “Student declined ISA” = The ISA was not signed. Please do not change the status in this case!
  • “Immatrikuliert/enrolled” = person is currently studying.
  • “Beurlaubt/Semester Off” = person is on an official vacation semester.
  • “Auslandssemester/Semester abroad” = person is on an official semester abroad.
  • “Aborted” = the person dropped out of the course.
  • “Exmatriculated” = the person has graduated from the course.

Special case: students with more than one ISA - what do I need to be aware of?

Some students have started (or graduated from) several degrees at your education institution and might therefore have signed several ISAs. In this case, please set the university status according to the most current degree financed by CHANCEN, even if the portal displays an already finished degree. We are working on making our portal more intuitive in this area.

How can I use bulk updates?

You can use bulk updates to update status in the portal more quickly.

  • To set the same status for several persons, you can select all of them using the check symbol on the left. To select all people shown on one page, you can check the checkbox in the top left corner of the menu.
  • Now you can select the field “bulk update” in the top right corner. After clicking on the button, you can set the same status for all chosen people.

Unfortunately, it is currently only possible to display 10 persons on the same page. Please go through all pages when updating the status. We are working on enabling you to see more people on one page in the future.
